Most venues have some tables available for use and that will drive the layout for your event. But there is more to consider than just table availability. The right setup enhances the flow of the event but also ensures that guests are comfortable and engaged. The type of event you’re hosting plays a significant role in determining the best table layout.

  • Corporate Meetings & Conferences: Opt for long banquet or conference-style tables to promote collaboration and focus. Will there be a presentation? you do not want people to have to turn around to view the presentation for 8 hours. Space for note-taking and laptops is important as well as plugs are helpful.

  • Weddings & Receptions: Round tables encourage conversation and create an elegant setting. Having a combination of high cocktail tables and low tables with seat for the reception space allows people to mix and mingle while being able to sit down if needed.

  • Workshops & Team-Building Sessions: Flexible layouts with rectangular tables or pods can enhance interaction and engagement. Open space may be needed for activities.

  • Intimate Gatherings & Celebrations: A mix of round and rectangular tables can add variety and a welcoming touch. Also this will accommodate different group sizes attending the event. Tables that seat up to 10 for families and smaller card tables for couples.

  • Leave at least 2 feet between chairs to allow guests to move comfortably.

  • Provide at least 5 feet between tables to ensure easy traffic flow for servers and attendees.

  • Rectangular Tables: 6-foot tables seat up to 8 guests; 8-foot tables can seat 10 guests. Placerville Gathering Place has (8) 8ft tables and (2) 6ft tables.

Table Arrangements for Different Venues

Floor plan with labeled areas: Kitchen, Storage, Bathrooms. Circular tables in rows at the bottom, U-shaped seating at the top. Minimalist design.

  • Banquet Style: Ideal for large gatherings, maximizing guest seating while maintaining elegance. This is accomplished with either rounds or long tables.

  • Theater Style: Best for presentations or speaker events where tables are minimal or not needed. This is accomplished with chairs in long rows with aisles.

  • U-Shaped or Boardroom: Excellent for training sessions and executive meetings to facilitate discussion. This is accomplished by having a large table (combining smaller tables to make a large table) with seats around but not in front where the screen would be.

  • Cabaret Style/Crescent Rounds: Smaller round tables with open space on one side, perfect for workshops and presentations. This is accomplished by putting chairs on one side of a table leaving a gap in the front to view the presentation or speech.
